1. Guest numbers
1a) The numbers you sign for on the contract are the number of guests chargeable, however, 14 days prior to your event date, we will ask you to update your final numbers. If these numbers are greater than those originally agreed, this will become your new chargeable numbers. We appreciate that it can be quite difficult to estimate your guest numbers far in advance. We therefore allow you to reduce the numbers by 10% free of charge providing you let us know 14 days prior to the event date.
2. Cancellation and moving dates
2a) In excess of 14 days prior to the start date:
No charge 14 days from the event date: Any deposits paid will be lost.
Between 13–7 days from the event date: 50% of the contracted value is payable.
Under 7 days from the event date: 100% of the contracted value is payable.
What happens if I need to move the date of my event?
If your request is prior to the cancellation dates detailed above, subject to the new date being available, you can do this with no monies lost. If you need to move the date within the cancellation period outlined above then cancellation charges may still apply however this will be confirmed to you upon application. Each case is considered individually.
3. Catering
3a) No external catering is permitted on site.
3b) Exceptions can be made for items such as celebration cakes. Advance awareness and permission is required.
4. Music and external entertainment
4a) All external entertainers including DJs, singers and musicians, must provide a copy of their public liability before the event date. We reserve the right to refuse anyone, who hasn’t provided the above, to play.
4b) We reserve the right to refuse use of equipment if it isn’t PAT tested, proof will be required, where possible in advance.
4c) All external entertainers must be communicated and agreed by your venue contact prior to the event date.
4d) Music and entertainment must finish 30 minutes before your contracted end time unless otherwise agreed in writing by your venue contact.
5. Payment terms
5a) Your payment terms will be confirmed to you in writing along with a pro-forma invoice for your first payment.
6. Final requirements
6a) We must receive all menu choices, final numbers and details 2 weeks prior to your event date. After this time there is no guarantee your choices and requirements can be met.
6b) Payment terms outlined must be adhered to, failure to receive payment on time may result in cancellation and any monies already paid to be lost.
